Current website stage: VerbaKind is preparing to launch. Document analysis and order-review requests are restricted to signed-in administrators for testing. There is no public checkout, payment collection, newsletter or automatic translation service. Please use synthetic or appropriately redacted test files.

Who is responsible?

VerbaKind is a brand operated by Berken OÜ, registry code 12129087, entered in the Estonian e-Business Register. Registered address: Kokasauna põik 7, Tänassilma küla, Saku vald, Harju maakond, 76406, Estonia.

What information is processed?

Website operation: the hosting service processes technical information such as IP address, requested page, time, browser information and security/error events.
Administrator document tests: the uploaded source file, filename, language pair, extracted word count, preliminary price and a temporary estimate reference. Extracted document text is used for counting; it is not saved as a separate text record by the quote plugin.
Test order-review requests: name, email, billing country, optional company, billing address and VAT number, requested deadline and delivery format, project notes, the source file and estimate. Required fields are marked on the form.
Email enquiries: your email address, the information you choose to send and our correspondence. Order-review forms also send a transactional notification to Inquiries@verbakind.eu; an acknowledgement may be sent to the email provided if that setting is enabled. These are service messages, not marketing. The notification to Inquiries@verbakind.eu includes submitted contact and billing details, delivery preferences, project notes and the uploaded source document as an attachment. The orderer receives a separate acknowledgement without the source attachment. Mailbox copies are retained separately from temporary website files; deleting a website file does not delete emailed attachments.

Why information is used

Technical information supports site delivery, access control, troubleshooting and security; our legitimate interest is running a reliable and secure website. Information supplied for an enquiry or requested quote is used to respond and take steps at your request before a possible contract. Administrator test information is used to verify and improve the service. Records needed to meet a legal obligation are handled on that basis. We do not use these details for unsolicited marketing.

The acknowledgement on the order form explains the preliminary nature of the request; it is not a blanket consent to unrelated processing.

Documents, sensitive information and AI

Analysis runs on the website’s hosting server. The quote tool does not send documents to an AI provider, perform a translation or distribute files to reviewers. Word counting is automated, but it does not accept an order or make a binding decision about price or delivery.

Do not use the test service for unredacted health records, identity documents, criminal-offence information or other sensitive personal data. If a future translation project involves such information or personal data about other people, contact us first so that the appropriate processing arrangements can be agreed. The current test flow is not an approval for processing every document category.

Who can access information?

Private test requests and source downloads are restricted to authorised WordPress administrators. Hosting and mailbox services are provided through Veebimajutus.ee (Elkdata OÜ). Its authorised personnel may process information where needed to operate or support those services. Information may also be disclosed when a valid legal requirement applies.

No public quote documents are placed in the WordPress media library. We do not sell personal data. The current quote tool has no external AI, payment or analytics integration. Provider backup, log-retention and international-transfer arrangements still require operational verification before public document uploads are enabled; we do not claim that all provider processing is confined to a particular country.

How long information is kept

Unsubmitted estimates: temporary source files and estimate references are scheduled to expire after one hour.
Submitted administrator test requests: source files are scheduled for deletion after seven days. Request details remain in private administrative records until an authorised administrator removes them; a shorter, documented retention schedule is being reviewed before public launch.
Email enquiries: kept for the time needed to answer the enquiry and handle relevant follow-up, then reviewed for deletion unless a legal obligation or dispute requires retention.
Logs and backups: follow the hosting provider’s operational retention and rotation settings. Deleting a live file does not necessarily remove a backup copy immediately.

File cleanup currently uses scheduled WordPress tasks, so execution depends on the site’s scheduler. A dependable hosting cron and provider retention settings must be confirmed before public launch. Contact office@verbakind.eu if a test file or request needs earlier removal.

Cookies and external content

This site is configured without advertising, visitor analytics, social-media embeds or optional tracking cookies. WordPress may use necessary authentication, security and administrative-preference cookies when an administrator signs in. Public user registration and new comments are disabled. External avatar images are disabled, and the illustrative homepage photo is hosted on verbakind.eu.

There is no “accept all” tracking banner because optional tracking is not enabled. If optional analytics or embeds are introduced, this notice and the relevant consent controls will be updated before activation. External links, including the photo-credit link, take you to another provider only when you follow them; that provider’s own practices then apply.

Your choices and rights

Depending on the circumstances, you may request access, correction, deletion, restriction or a portable copy of your personal data, and object to processing based on legitimate interests. If a future activity relies on consent, you may withdraw it without affecting earlier lawful processing. We may need proportionate information to verify a request.

Write to office@verbakind.eu. You may also complain to the Estonian Data Protection Inspectorate or another competent supervisory authority.

Changes before launch

This notice describes the present testing configuration. It will be reviewed before public uploads, paid orders, reviewer sharing, AI translation or payments are introduced. Those features are not enabled by publishing this notice.
